This guide explains how to plan a smooth wedding day timeline with photography coverage that fits the season, light, and your chosen events. It is designed for couples planning a wedding for the first time.

As part of every wedding photography package, I provide timeline building.
I map out the key, time-sensitive moments—getting ready, first looks/touches, private vows—where you will have privacy and controlled light.
Your planner, coordinator, or DJ can then create their own master timelines for the whole day and make the final call.
Different vendors use different timeline styles:
Planners often create a highly detailed schedule with minute-by-minute logistics.
Coordinators or DJs may use a simpler run sheet that focuses on music, announcements, or key reception cues.
Photography timelines focus on the intimate blocks that must be protected for lighting and privacy.
After the ceremony the day naturally flows faster and becomes more guest-immersive. I “selfishly” reserve quiet time earlier in the day so you can pause, connect with each other, and let those moments sink in.
Second-Shooter Recommendation
A second photographer is strongly encouraged if the bride and groom are getting ready at two different properties.
This ensures both getting-ready stories are documented.
Without a second shooter, the main photographer will stay with one location (typically the bride) while the other partner meets early at the ceremony site for portraits.
Key Timing Factors
Season and Daylight
In spring and summer, coverage typically ends around 9 PM.
In fall, coverage usually ends around 8 PM.
Mountain venues darken earlier because of trees and peaks.
Valley locations keep light longer, giving more flexibility for sunset portraits.
Sunset Portraits
Golden-hour photos are best just before grand entrance, mid-dinner, or at the tail end of cocktail hour, depending on sunset time and location.
First Looks
A “first look” is a private reveal when the bride and groom (or bride and parent, etc.) see each other before the ceremony.
Each first look takes about 5–10 minutes per person photographed.
Examples: bride with parents, bride with bridal party, couple together.
Add those minutes for every first look you include.
What Each Event Means
Getting Ready
The photographer does not arrive when hair and makeup start.
Arrival is near the end of hair and makeup when the bride’s hair and makeup are nearly finished.
We stage “touch-up” photos (powdering, lipstick, hair spray) and capture details: dress, shoes, jewelry, rings, invitations, bouquets, and venue décor.
Dressing: Allow 20–30 minutes for putting on the dress, tape/strap adjustments, and final steaming. Privacy is respected. I can photograph these moments if desired.
First Looks
Couple First Look: A private reveal between the bride and groom before the ceremony.
Parent First Look: A reveal with parents for an emotional, keepsake moment.
Bridal Party First Look: Bridesmaids or groomsmen see the bride for the first time.
Each of these adds ~5–10 minutes and can be combined if time allows.
Portrait Blocks
Couple Portraits: Creative and intimate portraits of the bride and groom together.
Wedding Party Portraits: Group photos with bridesmaids and groomsmen.
Family Formals: Group photos of immediate and extended family as listed on your shot list.
Ceremony
The main event. Typical length: 20–40 minutes.
Cocktail Hour
Guests enjoy drinks and appetizers.
Family and wedding party portraits are finished if not done earlier.
Reception
Includes grand entrance, dinner, toasts, cake cutting, first dances, and open dancing.
Sunset portraits may happen before the grand entrance, mid-dinner, or late in cocktail hour depending on light.
Building Your Timeline
Sample Wedding Day Photography Timeline (6, 7, and 8 hours)
Work backwards from your ceremony start time (C).
Decide on first looks.
Add portrait blocks and dressing time.
Insert staged detail shots and touch-ups.
Add travel time if locations differ.
Example:
Ceremony at 4:30 PM
Two first looks (parents and couple)
15 min tuck-away + 30 min family + 30 min wedding party + 30 min couple + 15 min first looks + 30 min dress + 30 min details = about 3 hours pre-ceremony.
Photographer arrival ≈ 1:30 PM for an 8-hour package ending around 9:30 PM.
